We’ve created a complete set of documents and processes to make your life easier and ensure you meet both NLP4Kids guidelines and GDPR regulations. This includes clear, plain-English policies on data protection, consent forms for clients, consultation documentation, and even guidance on how long to keep client notes and how to securely store them.

And because we know your life is full enough without complicated admin, we provide you with session templates and structures for evaluation, plus booking and payment systems to keep your workflow smooth and stress-free.

Paper, Pens… and Going Digital

Now, I’ll admit something here: I’ve always had a soft spot for paper. I’m the kind of person who gets slightly too excited in stationery shops. 🖊️📚 In the early days of my practice, I had folders and files stacked so high they were threatening to become a new form of wall insulation.

But times change—and so do systems.

These days, I run my entire client management system digitally—with better security, more space, and far less paper clutter.
It’s more efficient, eco-friendly, and it makes a huge difference to the way I run my children’s franchise. 🌍💡

I now use an app called GoodNotes on my iPad (for Android users, an equivalent would be something like Notally). Clients complete forms directly on the screen using an Apple Pencil. Every child gets their own folder, where I store consultation notes, session worksheets, and workbooks.

And with a single click, I can send session resources straight to a parent’s email. It’s seamless, quick, and incredibly professional.

That said, if tech isn’t your thing yet—don’t worry. When I started, I didn’t have this gear either (because it didn’t even exist!). I began with good old-fashioned paper and pens, just like many of you will. But as my client list grew, so did the storage needs. Eventually, I had to start scanning files, shredding older ones, and backing everything up on hard drives.

So whether you’re team notebook or team iPad, you’ll find a way that works for you—and we’ll help you every step of the way.

Security Matters (But It Doesn’t Have to Be Complicated)

When you do go digital, there are a few simple things to bear in mind to keep your client data safe.

You don’t need military-grade encryption—just a locked screen and a strong password will do. 🔐

GoodNotes can be secured using Face ID or passcodes, and your device should also automatically lock when idle. This gives you a double layer of protection—just like keeping paper files in a locked drawer. And of course, your passwords should be known only to you.

There’s no need to stress about it. We make sure you know exactly what’s required from a legal perspective, and we’ll walk you through how to do it. That way, you’re never left second-guessing or feeling unsure.
